A financial leasing contract lives for years. Throughout that time it produces invoices, receipts, accounting entries and reports. Each stage can be done by hand – or it can start automatically from the one before.
Here is the cycle, stage by stage.
1. The contract
Everything starts here. The contract defines the financed asset (vehicle, equipment, property), the instalment schedule, interest, residual value, collateral and the people involved – client, proxies, representatives.
What can be automated: calculating the repayment schedule, checking the client (KYC, beneficial owner, the Credit Bureau, income declared to ANAF) and due-date notifications.
2. Invoicing
Every instalment becomes an invoice, along with insurance re-invoicing, fees and penalties.
What can be automated: issuing invoices straight from the schedule and sending them through RO e-Factura, under Law no. 242/2022. Supplier invoices received in SPV can be imported and booked with no re-keying.
3. Collections
Clients pay through their bank. Each payment has to be matched to the right invoice.
What can be automated: importing bank statements and reconciling receipts with invoices, so every contract’s balance is always up to date.
4. Accounting
Every operation – instalment, receipt, termination, provision – has to be reflected correctly in the ledger.
What can be automated: generating accounting entries from operations, recognising provisions and expected losses under IFRS 9, and reflecting contracts on the balance sheet under IFRS 16.
5. Reporting
Contract data ends up with the authorities: BNR, ANAF (for example D300, D390, D394 and D406 SAF‑T) and ONPCSB.
What can be automated: producing reports from the same data as invoices and accounting – no exports, no reconciliations, no intermediate spreadsheets.
Why the links between stages matter
When each stage lives in a different system, data is moved by hand from one to the next. Every move costs time and is a chance for error. When everything starts from the contract, a change made once flows everywhere: into invoices, accounting and reports.
BI PRO Financial leasing covers all five stages on one platform. Request a demo to see the full cycle on a real contract.
